What really hurts a club isn't court bookings.

There are ten apps for collecting fees and taking attendance. What nobody handles is what can cost you a labour inspection, a grant clawback or a fine.

The "volunteer" coaches

Half of Spain pays coaches a fixed monthly "expense allowance" — exactly what the Labour Inspectorate treats as disguised employment, with retroactive contributions and, since 2023, criminal exposure. Meanwhile a 100 % social-security rebate for hiring them legally goes unused.

The invisible tax trap

The club "pays no taxes"… until one €2,500 sponsorship forces it to file corporate income tax. VAT-exempt membership fees coexist with the bar and advertising at 21 %, and nobody computes the pro-rata that mix requires.

Town hall, county, regional government and federation — all over the same expenses. Hand-built justification accounts and the same receipt claimed twice are the number-one cause of clawbacks.

Child protection in a spreadsheet (or nowhere)

A safeguarding officer, an approved protocol, staff training and a criminal-record certificate for every person in contact with minors — volunteers included, no size threshold. When the inspection letter arrives, it's too late to start collecting papers.

What clubs ask us

Can I really hire my coaches at near-zero social security cost?
If your club is a registered non-profit sports entity and the coach trains non-professional minors, Law 7/2024 rebates 100 % of the employer's common-contingency contributions (code 9941, in force since December 2024). DEPORSET checks eligibility per person, computes the saving and keeps the supporting file in case Social Security reviews it.
My club is small. Does it have to file corporate income tax?
It's only exempt from filing if it meets three conditions at once: total income up to €75,000, non-exempt income (bar, advertising, rentals, courses for non-members) up to €2,000, and all of it subject to withholding. A single €2,500 sponsorship triggers the duty to file. DEPORSET watches all three thresholds live and warns before they're crossed.
I pay my coaches as volunteers with a fixed allowance. Is that risky?
Very. Legal volunteering only allows reimbursement of documented expenses: a fixed, periodic amount points to disguised employment, which the Labour Inspectorate pursues with retroactive registration and contributions — and since the 2023 reform of art. 311 of the Criminal Code, with criminal exposure. DEPORSET registers each volunteer with their agreement, insurance and receipts, and warns when an allowance looks like a salary.
What exactly does Spanish child-protection law require from my club?
If your organisation works with minors — whatever its size —: an appointed and trained safeguarding officer, an approved action protocol, staff training, and a negative criminal-record certificate (sex offenders registry) for every person in regular contact with minors, volunteers included. DEPORSET keeps it as a living file, watches every expiry date, and prints it as-is for an inspection.
Do membership fees carry VAT?
If the club is a non-profit social entity, sports services to individuals are VAT-exempt. But the bar, the shop, advertising and facility rental are taxed — and that mix requires a pro-rata almost nobody computes. DEPORSET tags every income line and computes it automatically; your advisor just reviews.
Does it help with public grants?
Each grant call is a file: expenses allocated by percentage, control that the same receipt never funds two grants — the number-one cause of clawbacks — and the justification account generated from data the club already holds. And for whatever software can't solve, the firm is behind it.
Do families see the schedule and the matches?
Yes. The club sets up each team or class with its weekly schedule and, when there is a match, competition or trip, calls it up with time, meeting time and venue: the group's families get a push alert and reply whether their child is coming. The club sees the count; a family never sees other minors. Each family makes its own way to the venue.
How are authorisations signed?
From the family app. The club requests the authorisation — image rights, a trip, who may pick up the child, health data — with the wording already drafted; the family reads it in full, receives a one-time code at the guardian's email and signs with their name. The record keeps who signed, when, from which address and a hash of the text: a simple electronic signature that stands as evidence of consent, with a printable certificate inside the child-protection file. Can I talk to families from DEPORSET?
Yes. Announcements to the whole club or to one group, pushed to the phone and kept in each family's app, plus a private message thread with each family, from the desktop or from the board app. There is never a chat between families or with minors: that is a child-protection decision, not a technical limit.
